VIDIS S.A., headquartered in Kobierzyce, 4 Logistyczna Street, 55-040 Bielany Wrocławskie, fulfilling the obligations arising from the applicable legislation on the protection of personal data, including the Regulation of the European Parliament and of the Council (EU) 2016/679 of April 27, 2016 on the protection of individuals with regard to the processing of personal data and on the free movement of such data and repealing Directive 95/46/EC (hereinafter referred to as RODO), wishes to provide you with information regarding the processing and protection of your personal data.

The information contained in the Privacy Policy will help you understand what personal data VIDIS SA collects and processes, for what purpose it is used, and what rights you have in relation to the protection of your personal data.

VIDIS SA collects and processes personal data in connection with:

  • provision of maintenance services;

  • the sale of products and services through the B2B system, including order processing and customer contact;

  • marketing activities undertaken;

  • establishing contact through forms available on the websites;

  • established business relationships;

  • conducted recruitment processes.


What personal data does VIDIS SA collect and process?

VIDIS SA collects and processes personal data to the extent necessary to fulfill the purpose for which they were collected. Depending on the purpose and the legal basis for collecting and processing personal data, VIDIS SA may collect and process the following data, among others:

  • identifying data, including but not limited to: first name, last name;

  • contact data, including, but not limited to: address, telephone number, e-mail address;

  • company-identifying data, including, but not limited to: company name, business address, tax identification number (NIP), business identification number (REGON).

Potential contractors

Data is obtained directly from you or from publicly available sources. When personal data is collected from publicly available sources, ADP collects your personal data: name, surname, company name, telephone number, e-mail address, official position.

Users of contact forms

Data is obtained directly from you in the contact form or during the contact conducted to respond to the request made through the contact form.

Addressees of marketing activities

Data may be obtained:

  • directly from you;

  • from the entity on whose behalf you are acting (name, surname, telephone number, e-mail address, official position).

Is it necessary for you to provide your data?

Customers:

Your provision of data necessary for the execution of the contract is a condition for the conclusion of the contract. Refusal to provide them will result in inability to use the service or issue an invoice.

Contractors:

The provision by you of the data necessary for the submission of an offer and the subsequent signing and execution of the contract is a condition for the conclusion of the contract. Refusal to provide them will result in the inability to make an offer and conclude a contract.

Contractor representatives, contact persons

If you provide personal data directly to ADO, the provision of such data is voluntary, but necessary for ADO to perform a contract on behalf of the entity on whose behalf you are acting. If you do not provide the data, the execution of the contract may be hindered.

Potential contractors

If you provide data directly to ADO, the provision of such data is voluntary, but necessary in order for ADO to take steps to establish a business relationship, including making an offer and entering into a contract.

To whom may VIDIS SA provide your personal data?

  • entities entrusted by ADO with the processing of your personal data, including:

    1. providers of technical and organizational services (in particular, ICT service providers, postal and courier service providers);

    2. providers of legal and advisory services, including in the case of the assertion of claims related to VIDIS SA's business activities and defense against claims;

    3. other entities, persons or bodies - to the extent and under the terms of the law, with the proviso that the sharing of your data with the above-mentioned entities is carried out in accordance with applicable laws and with full compliance with the rules related to their security.


Will your data be transferred to countries outside the European Economic Area (countries other than the countries of the European Union and Iceland, Norway and Liechtenstein )?

Your data will not be transferred to countries outside the European Economic Area.


What rights do you have in connection with the processing of your data by VIDIS SA?

In connection with the processing of your personal data by VIDIS SA, you have:

  • The right to access your personal data (Article 15 RODO);

  • The right to rectify your personal data (Article 16 RODO);

  • The right to request erasure of your data in the cases specified in Article 17(1), subject to the exceptions specified in the provision of Article 17(3) RODO;

  • The right to request restriction of data processing in the cases specified in Article 18 RODO;

  • The right to data portability in the cases specified in the provisions of Article 20 of the RODO.

If the ADO processes your personal data on the basis of consent, you have the right to withdraw your consent at any time, without affecting the validity of the processing that was carried out on the basis of your consent prior to its withdrawal.

Will automated decisions (decisions without human involvement) be made towards your data?

No automated decisions (decisions without human involvement) will be made in relation to your personal data, including your data will not be subject to automated profiling.


Right to object

In addition, VIDIS SA informs you that, for reasons related to your particular situation, you have the right to object to the processing of your personal data, including profiling, where the basis of data processing by the ADO is:

  • the necessity of the processing for the performance of a task carried out in the public interest or in the exercise of public authority vested in the controller (Article 6(1)(e) of the DPA);

  • ADO's legitimate legal interest (Article 6(1)(f) RODO).

Once an objection has been lodged, VIDIS SA will not be able to process personal data based on the aforementioned grounds for processing unless it demonstrates the existence of compelling legitimate grounds for processing overriding the interests, rights and freedoms of the data subject, or grounds for the establishment, assertion and defense of claims.

If VIDIS SA processes your data for direct marketing purposes, you have the right to object to the processing of your data by VIDIS SA for direct marketing purposes.


Security of personal data

VIDIS SA uses appropriate technical and organizational measures to keep your personal data secure, including protecting your personal data from unauthorized access, loss or destruction. To ensure the security of your personal data, VIDIS SA has implemented appropriate personal, organizational, technical (IT) and physical security measures.
